Recharter Tips and Tricks

 

  • Website is www.denverboyscouts.org/renewal. The help button is a PowerPoint PDF document.

  • Everyone is a first-time user each year until they have gone in and set their password by clicking on ‘Register’. Any subsequent log in during the same year is a returning user and will take you to where you last left off, click on ‘Log In’. A District Executive should have sent you your unit ID.

    • Must us 4-digit unit number ie. 0870

  • Preparation is the key. Compare Scoutbook and my.scouting rosters to find discrepancies. Send den roster to Den Leaders for their comments on who is still active and who has left.

  • You can pay online this year.

    • E-Check (may not be available yet) – Free and recommended payment method

    • Credit Card – 3% fee – I don’t recommend using this as this will cost your unit more money

    • Cash – include a check with your EZ form printout that you will turn in to council – use this if e-check isn’t available

  • Minimum positions that need filled:

    • Executive Officer; Charter Org Rep; Committee Chair; Committee Member x2; Cub Master; Den Leader x1.

    • If someone doesn’t have the required training done you can move the to “Unit Scouter Reserve” position and all they need is YPT. The positions that require training are the Key 3. You will have to move someone in there that does have the training however, or have them take the online training ASAP. It will update within 24 hours and then you can update the roster.

    • If Charter Org Rep is same person for multiple units, only 1 unit needs to pay for them, you can adjust that at the end of the process.

      • You can also do this for any adult who is multiple registered in units and/or District or higher levels

      • Make sure you communicate this with the member and other affected units

  • All signatures can be done online and the system is supposed to be tablet/iPad friendly.

    • Executive officer will need your log in credentials to sign on their own or you need to be with them when they do it.

  • Any new applications done online will be reflected on Member Manager within 24 to 48 hours, then you can update roster download.

  • Ensure your registered adults have YPT that is current through May 1, 2020 to avoid issues. The system will accept anything current as of submission date, but it takes time to actually process at national and if YPT isn’t good on that date it will be an issue for you.

  • Everyone is assumed to renew, you need to deselect those that you do not what to renew.

  • Do not worry about the “Promote Members” portion, that is for troops.

  • You can update youth rank and name/address issues in “Update Member” (Data step 5). You may need to click ‘next’ button to get to info like youth grade etc.

  • To update adult position, say from ACM to CM, do that on step 5 of 6 “Update Member Data” and not in step 6 “Update Member Position,” that doesn’t work for some reason.

    • This is also where you can add in or take away Boy’s Life subscriptions for adults and multi-scout families.

    • This is the time to move adults to new positions and not have to do a new application, so make those changes now such as new Cub Master or Committee Chair if it will happen reasonably soon.

  • You can jump back but not forward through the process using the far-left column.

  • If you get to the end, just before the ‘submit to council’ option and need to go back, click the gear icon on the top right corner and then select “Home” and it will take you to step 1.

  • You will have to play the validation game and adjust boys based on their age/grade and rank that the system things are too young, especially for Webelos.

  • The Institutional Head and Unit Leader (Cubmaster, Scoutmaster, Crew Advisor) must sign the recharter.

  • MAKE A COPY of everything you turn in.

 

Please don’t hesitate to ask questions! Until you submit it to Council you can always go back and fix any mistakes or make any changes that you need to. Even then you can contact the registrar and they can reset the account.
